Commercial HVAC Maintenance Program

Commercial HVAC Maintenance Program

Project Overview

Medical facilities have HVAC requirements that go beyond basic comfort. Pharmaceutical storage must be maintained within specific temperature ranges per FDA guidelines. Examination rooms need reliable climate control for patient comfort and accurate medical readings. Waiting areas must be comfortable for patients who may already be feeling unwell. Air quality affects both patient experience and infection control.

Our maintenance program for this Canton medical office was designed to address all of these requirements systematically. The wireless monitoring system provides continuous oversight between quarterly visits, catching any temperature excursions in real-time rather than discovering them during the next scheduled inspection.

Since implementing the program, the building has had zero comfort complaints from physicians or patients. The pharmaceutical storage area has maintained its required temperature range without exception. Emergency calls have dropped to zero — because problems are caught and addressed during preventive maintenance before they become failures. The building owner described the transition as going from reactive crisis management to proactive facility management.

The Challenge

A Canton medical office housing three physician practices was experiencing chronic HVAC issues. The previous maintenance provider had been unreliable — missing scheduled visits, performing incomplete inspections, and failing to document their work. Examination rooms were frequently too warm, the waiting area had inconsistent temperatures, and the building's pharmaceutical storage area occasionally fell outside its required 59–77°F range, creating compliance concerns. Staff complained about air quality, and two physicians had received patient complaints about uncomfortable exam room temperatures. The building owner needed a maintenance partner who would treat the HVAC system with the same reliability expected in a medical environment.

Our Solution

We implemented a comprehensive quarterly maintenance program with detailed service protocols customized for medical facility requirements. Each quarterly visit includes a complete inspection of all rooftop units, split systems, and exhaust fans, with particular attention to the pharmaceutical storage area's temperature-critical zone. We installed wireless temperature monitoring sensors in the pharmaceutical storage room, three exam rooms, and the waiting area — all connected to a cloud dashboard that sends real-time alerts if any zone falls outside its designated range. Each maintenance visit produces a detailed report including all measurements, findings, work performed, and recommendations, stored digitally for easy access by the building management team. We also established priority emergency response (under 2 hours) for this facility given the medical nature of the tenants.

Results & Outcomes

  • Zero comfort complaints since program implementation
  • Pharmaceutical storage temperature compliance maintained 100%
  • Emergency repair calls reduced to zero over first 12 months
  • Real-time monitoring catches issues before they impact operations
